We are looking for a friendly, organized, and proactive Front Desk Receptionist to be the first point of contact for visitors, customers, and employees while providing administrative support to our Sales Team and helping ensure the smooth day-to-day operations of our Jacksonville office. This role is ideal for someone who enjoys creating a positive first impression, thrives in a dynamic environment, and takes pride in keeping the workplace running smoothly.

This is an onsite role in our Jacksonville, FL office working Monday-Friday

  • Front Desk & Office Administration:
  • • Serve as the first point of contact by welcoming visitors, clients, and vendors and managing incoming calls with professionalism.
  • • Manage visitor sign-in procedures and support office security protocols.
  • • Receive, sort, and distribute incoming mail, packages, and courier deliveries.
  • • Maintain a clean, organized, and welcoming reception area, meeting rooms, and common spaces.
  • • Coordinate meeting room bookings and provide general administrative support across departments.
  • • Maintain organized electronic and physical filing systems.
  • • Order and manage office, kitchen, and workplace supplies.
  • • Support travel arrangements, meeting logistics, and other office coordination activities as needed.
  • • Handle confidential information with discretion and professionalism.
  • Sales Team Support:
  • • Provide day-to-day administrative support to the Sales Executive Team and assist with ad hoc projects and business initiatives.
  • • Own the end-to-end expense report submission process for the Sales Executive Team, ensuring timely and accurate processing in accordance with company policies.
  • • Diploma or degree in Business Administration, Office Management, or related field
  • • 1-3 years of experience in a Receptionist, Administrative, office coordinator, or similar role.
  • • Experience managing expense report submissions.
  • • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • • Excellent communication, organizational, and multitasking skills.
  • • Ability to work independently, prioritize competing tasks, and meet deadlines.
  • • Strong attention to detail with a professional, customer-focused attitude.
  • • Ability to handle confidential information with discretion and integrity.
  • Nice to Have:
  • • Experience supporting senior leaders or department heads
  • • Experience in a fast-paced corporate or technology environment.
  • • Experience supporting a Sales or Commercial team.

The essential functions of this position require frequent walking and sitting, as well as occasional light lifting of up to 20 pounds.
