Logistics Specialist Job Summary:
We’re looking for a Logistics Specialist who will support the day-to-day operations of the logistics team by ensuring accurate data entry, tracking inbound shipments, and assisting with import documentation processes. This role plays a key part in maintaining efficient supply chain operations, with a strong focus on import compliance and shipment visibility.
This is an onsite role in our Jacksonville office working Monday – Friday, 9:00am to 6:00pm.
What You’ll Be Doing:
- Enter and maintain accurate shipment data in internal systems
- Track and monitor inbound shipments to ensure timely delivery
- Assist with import documentation, including submissions and related compliance requirements
- Communicate with vendors, freight forwarders, and internal teams regarding shipment status
- Identify and resolve discrepancies in shipping documents or delivery timelines
- Maintain organized records of shipping and import documentation
- Support the logistics team with administrative tasks and reporting as needed
- Shipment Coordination: Manage end-to-end air imports (ocean experience a plus), including booking, tracking, and delivery updates.
- Documentation Processing: Prepare and verify key shipping documents, including AWBs, invoices, packing lists, and manifests.
- Customs Compliance: Ensure compliance with government regulations by filing necessary documentation (e.g., ACE requirements, ISF filings).
- Communication: Serve as the main contact for agents, overseas partners, truckers, and airlines to coordinate shipments.
- Invoicing & Profitability: Prepare and process invoices, ensuring accurate billing and profitability.
- Troubleshooting: Address and resolve unexpected delays, cargo discrepancies, or damages.
What You’ll Need:
- High school diploma or equivalent required; associate’s degree preferred
- 5+ years of experience in logistics, supply chain, or administrative support (import experience preferred)
- Familiarity with import processes and documentation
- Strong attention to detail and accuracy in data entry
- Proficient in Microsoft Excel and data management systems
- Excellent organizational and communication skills
- Ability to manage multiple tasks in a fast-paced environment
Preferred Skills
- Bilingual proficiency in English and Mandarin is a plus, but not required
- Experience working with freight forwarders and customs brokers
- Knowledge of import regulations and compliance standards
- Experience with ERP or logistics tracking systems
